Your Role:
We are looking for a Marketing Operations Specialist to help manage and optimize our marketing systems, tools, and processes — particularly within HubSpot. This is a hands-on, in-person role supporting multiple areas of the Marketing team, including product marketing, brand strategy, and video production.

As part of a growing team, you'll have the chance to learn the business, strengthen how we use marketing technology, and contribute to better cross-team coordination that ultimately drives results.

The ideal candidate is a detail-oriented problem-solver with a strong sense of urgency, capable of managing multiple timelines and moving parts. You bring an action-oriented mindset, enjoy improving processes, and thrive on helping others succeed by offering creative, practical solutions.

Please note that hands-on experience with HubSpot is a requirement for this role.

Key Responsibilities:

  • HubSpot Platform Management:

    • Create, manage and optimize workflows, lists, forms, CTAs, marketing events, and email schedules

    • Understand how to create views for other team members to utilize

    • Understand functionality within HubSpot webpages and emails such as content filters and smart rules

    • Manage Wistia integration

    • Communicate creative ideas for how to re-engage contacts and maximize touchpoints in an effort to generate new business

    • Ensure data quality and list hygiene, including list imports and segmentation

    • Monitor email engagement metrics and flag warm leads to the Marketing team and the business with a clear handoff process

    • Provide expert-level guidance on how the team can better leverage the platform, including identifying gaps and opportunities for improvement

    • Build and maintain custom dashboards and reports to track performance and highlight the impact on our business goals

    • Troubleshoot issues and guide other team members on best practices

  • Project Support: Act as a liaison between Marketing and other business teams to help move projects forward. Support product marketing and brand strategy by helping tie campaigns together in a coordinated way that builds brand identity and generates more business.

  • Process Optimization: Identify creative ways to streamline marketing operations and workflows; be a team player and support collaboration

  • Collaboration Mindset: Ability to hear from multiple teams, sift through complicated information and then make thoughtful decisions to propose to Marketing leadership

What You’ll Bring:

  • Technology skills: Passionate about processes and marketing technology

  • Analytical and problem-solver mindset: Ability to draw insights from marketing performance data, offer creative solutions and pivot as needed. Willing to learn more about our internal data and reports and how to apply that information to our marketing efforts.

  • Detail orientation: High level of thoroughness and ability to juggle multiple requests

  • A service mindset and can-do attitude: Willingness to jump in and help other team members; able to attend a high volume of team and cross-departmental meetings to understand how to best position the Marketing team’s technology

Qualifications:

  • Required: Hands-on experience and proficiency in HubSpot (certifications are a plus)

  • 2–4 years of experience in marketing, communications or a related field

  • Experience supporting multi-channel campaigns

  • Familiarity with Google Analytics is a plus

  • Prior exposure working in insurance or sales is a plus but not required
