Job Title: Claims Administrative Assistant

Your Role: The administrative assistant supports the Claims team through a variety of administrative and customer service functions. This role helps ensure the smooth processing of claims and enhances communication between internal teams and customers.
Key Responsibilities:
Claim intake: Take new claim reports over the phone and assist callers with claims-related questions or direct them to the appropriate team
Payment processing: Support examiners by processing expense and loss payments accurately and efficiently
Customer correspondence: Communicate with customers to provide claim updates and pertinent information
Documentation: Prepare and send letters on behalf of the claims examiner
File management: Process zip files and maintain organized digital records
Reporting: Complete weekly and monthly Excel reports to support departmental tracking and analysis
What You’ll Bring:
Flexibility: Be flexible and willing to take on additional assignments as needed while maintaining daily operations
Written communication: Draft and edit documents, emails and letters with accuracy and professionalism
Coverage: Review and handle emails during absences from the office to ensure continuity
Deadline management: Track deadlines and assist leaders in meeting all required timelines
Proactivity: Anticipate needs and take initiative — act proactively rather than reactively
Sensitivity: Be sensitive and responsive to leaders’ needs and assist with miscellaneous projects as they arise
Professionalism: Maintain a positive attitude and professional approach in all interactions
Qualification
Education: College degree or equivalent business/industry experience
Experience: Proficient in Microsoft Word, Excel, PowerPoint and Outlook
Knowledge: Excellent oral and written communication skills
Organization: Highly organized and efficient, able to multitask and prioritize effectively
Independence: Able to work independently and demonstrate strong initiative
Professionalism: Comfortable interfacing with leadership and peers

This position offers the flexibility to work remotely up to five days per month.
